TERMS & CONDITIONS OF WORLD ISLAMIC TOURISM MART 2012 (WITM 2012)
TRAVEX & EXHIBITION
1. TO PARTICIPATE AS AN EXHIBITOR IN TRAVEX / CONSUMER EXHIBITION
Application has to be submitted on Official WITM 2012 Exhibitor Form with Full Payment to be confirmed as an Exhibitor.
2. TERMS OF PAYMENT
i) Full Payment consisting of Cost of Booth & Registration Fee must be made together with the official WITM 2012 Exhibitor Form.
ii) The Organizer reserves the right to refund the payment made in the event the Exhibitor’s application is rejected by the organizer.

4. BOOTH ASSIGNMENT SYSTEM
In the best interest of the event and its participants, the Final allocation of the booths shall be the prerogative of the Organizer. Allocation of booths will be done on a first-come-first-served basis. The Organizer reserves the right at any time, to re designate booths & not to make such booths/spaces available. Sharing of booth by 2 or more organizations is strictly prohibited and may result in the expulsion of the non registered exhibitor.

6. SHELL SCHEME BOOTH
Furniture and Electrical Items provided for Standard Shell Scheme Booth (9sqm):
1) Information Desk – 1 unit
2) Folding Chair - 2 units
3) Waste Paper Basket – 1 unit
4) 40w Fluorescent Tube – 2 units
5) 13amp Single Phase Electrical Power Point (max 500w) – 1 unit
6) Carpet inside the booth
7) Fascia Name and Booth No.
8) FREE 1 delegate seat for WITM InCoMTHU Conference
Note: No financial credit will be given for any shell scheme package items not utilized.
7. BOOTH CONSTRUCTION REGULATIONS
a) The Official Contractor of WITM 2012 is Innogen Sdn Bhd for the construction of all the Shell Scheme and Special Design Booths.
b) Only the Official Contractor of WITM 2012 is to do all electrical wiring and connections. Exhibitors must refer to the Official Contractor to obtain approval if changes need to be made to the standard wiring laid out by this Official Contractor. The Organizer reserves the right to stop all activities of an exhibitor should it deem that electrical rules & regulations have been breached.
8. NAME TAGS
All participants must wear the Official Name Tag inside the venues of WITM 2012 and during any Official functions. Participants will not be allowed inside any of the venues after the official closing hours and before the official opening hours. For B2B- Two (2) Name Tags are provided Free (FOC) for every 9 sqm of exhibition space rented. For B2C – Five (5) Name Tags are provided Free (FOC) for every 9sqm of exhibition space rented. Additional Name Tags can be purchased at RM10.00 per Name Tag and subject to approval from the Organizing Committee.
Exhibitors are advised to hire their own security personnel to guard their exhibition booths. The security guards of the venue host will only patrol the general venues of the event which does not include specific attention being paid to individual booths. Exhibitors are responsible for all exhibits whether on display or in transit to and from the exhibition venue.
It is strongly recommended that at least one person be at the exhibition booth by 9.00am during the 3 days of the exhibition, when the hall is opened for exhibitors. It is important to note that while the Organizer will maintain security surveillance at all times, Exhibitors are reminded that their booths should not be left unattended until all portable items have been secured.
The organizer shall undertake all reasonable precaution to ensure the safety and security of the exhibition halls and the venue areas but the organizer will not be responsible or be liable to any participant for any loss or damage. Exhibitors are to arrange their own insurance to cover all stages of their participation. They are reminded to pack light, portable & valuable items immediately after the close of the exhibition daily. Each Exhibitor participating in the exhibition MUST indemnify the Organizer against all claims of whatever nature, which may be made against the Organizer arising out of in any way connected with such exhibitor’s participation in the exhibition. This provision is specifically agreed to be fair and reasonable by the Exhibitor participating in the event.
11. SALE & PROMOTION OF SERVICES & PRODUCTS
Participants must conduct their business professionally and must not undertake promotional & marketing activities which are disruptive to the event.
All forms of multi media films or movie presentation must obtain the approval of the Malaysian Censor Board. Approval may take up to 1 month. Participants are advised to send for approval to the Board at the following address:

Please ensure you have a copy of this license during your participation as relevant enforcement officers from the government may visit the exhibition.
Participants may contact the Official Freight Forwarder, RE Rogers (Malaysia) Sdn Bhd for transportation, freight forwarding, custom clearance and storage facility.
Participants may also contact PWTC or Innogen Sdn Bhd for storage facilities. All materials kept are at your own risk. Unwanted materials must be disposed of.
14. AV EQUIPMENT, INTERNET, TELEPHONE, POTTED PLANTS
All these must be rented from PWTC. Participants are not allowed to bring their own equipments & materials. Participants need to submit your request to PWTC via the following forms:
i) PWTC AV Rental Form ii) PWTC Potted Plant Rental Form
iii) PWTC Telephone Line Rental Form iv) PWTC Internet Line Rental Form
15. FAILURE TO EXHIBIT
Any organization which fails to exhibit for whatever reason shall be liable for the full amount stated in the contract plus any additional costs that may be incurred by the Organizer. These terms cannot be varied under any circumstances.
16. RIGHT TO CANCEL, POSTPONE OR SHORTEN EVENT
a) The Organizer reserves the right to cancel the WITM 2012 if, in the opinion of the Organizer, the total number of booths sold does not justify the staging of the event
b) The Organizer reserves the right to cancel or shorten WITM 2012 in the event of any unforeseen circumstances, which are beyond the control of the Organizer.
b) If the event is cancelled before hand, then all payments made to WITM 2012 organizer shall be refunded. No other claims or compensation will be entertained and the Organizer will not be held liable for any loss incurred by the participant/exhibitor.
c) If the event is shortened, there will be no refund of payments made. No other claims or compensation will be entertained
17. HANDING OVER OF HALL
Exhibitors must make good all damages or dilapidation to the exhibition venue and booth materials caused by the said exhibitor or by agents, contractors or by any person employed or engaged by the exhibitor. The halls must be handed back promptly to PWTC at 12 Midnight on 2 June 2012. Any exhibit and/or materials which still remains in the halls after this time will be disposed off immediately by the Official Contractor and the cost be charged to the Exhibitors accordingly. The Organizer shall not be held responsible for any loss or damage.
Exhibitors occupying shell scheme booths are also responsible for the cost of making good, restoring or renewing any damage or dilapidation to their booth structure, floor coverings, light fittings, or any part thereof whether caused by themselves, their agents, contractors or by any persons employed or engaged on their behalf by such agents or contractors. The cost of making good for any damages to the Shell Scheme Booths will be assessed by the Official Contractor and charged to the exhibitor concerned.
18. OFFICIAL DIRECTORY
Exhibitors are requested to submit a brief profile of their products & services & the nature of their business by Apr 15 2012 for inclusion into the Official WITM 2012 Directory. Advertisement space is available from RM9,000. Please check with the Organizer for advertisement space for rent.

19. FINAL DECISION
The decision of the Organizer on any matter arising before, during and after WITM 2012 shall be final.
